Units, doses, and the word that must not change

In this kind of text, a decimal point or a unit is the whole message. We check numbers and units against your source, keep dosage statements exact, and aim for one translation per term all the way through. On the larger packages we deliver a term list you can reuse.

Manuals and study documents often come as formatted files with tables and figures. Where a package includes light layout work, we rebuild the pages so they look like your original, not like pasted text.

What to send us

  1. The source files in their original format (Word, InDesign, FrameMaker, PDF). Editable beats flat.
  2. The language pair and who will read it: patients, clinicians, installers, regulators.
  3. A term list or product glossary, if one exists.
  4. Units and dosage conventions in the target country, if they differ from the source.
  5. Figures, tables and labels as separate files if the layout is complex.
  6. De-identified copies only, unless you've contacted us about a Business Associate Agreement.
  7. Any required wording from a regulator, sponsor or review board.

Patient information in your files

Medical documents can contain protected health information. If you are a covered entity or business associate and need a HIPAA Business Associate Agreement, contact us before sending files. Send only what's needed, and remove names, dates of birth and record numbers where you can. A blank consent form is a lot easier to handle than a signed one.

How we handle files

What we leave to others

We translate. We don't give medical advice, check clinical accuracy, or promise that a regulator or ethics board will approve a translated document. Certified or notarized statements aren't included in packages.

Questions we get on consent forms and manuals

Can I send documents with patient names on them?

Please don't, until you've contacted us. De-identify first where you can. If you need a Business Associate Agreement, email us before sending anything. At checkout you'll be asked to confirm you understand this.

Do you keep tables, figures and page layout?

Where the package includes layout work, yes. Manuals or study documents includes light layout work on documents up to 20 pages and Full medical or technical documentation set up to 40. Smaller packages deliver translated text matched to your structure, without rebuilt pages. Not sure which you need? Ask before buying.

We have a company term list. Can you use it?

Yes, send it with your brief. We'll use your terms over ours, and tell you if something in the source doesn't match your list.

Is a consent form translation certified?

Not in our packages. A certified translation is a signed statement about accuracy, and we don't include one. If a review board or hospital requires a particular format, tell us first and we'll say what we can and can't do.
